OVA Beach Volleyball League Season Rollover

1.1    Purpose of this document

The Purpose of this document is to document what is required to do a seasonal rollover of the Beach Volleyball League Management System which is independent of the existing MRS Rollover process for seasons.

2.    End Users

2.1    Team Contacts

MRS Users who have the “Beach Volleyball League Team Contact” role will be set to inactive so that when they log back in, they will need to sign the waivers again. They will also need to reselect the Beach Volleyball League Team Contact Role and pay the fee associated with that role.  

2.2    Players

Reminder: Players are not MRS members, they are simply emails tagged to teams.  Upon the rollover remove the “waivers” checkmark from all players so that team contacts will have to resend the “waiver confirmation” email again to everyone who plans on playing in the upcoming season.

2.3    Teams

All existing teams will be brought forward to the current season with all players on those teams having their Waivers check mark removed (see 3.2). Teams will have the same Team Contact as the previous season.

Team associations with any specific league or Division will be removed and Teams contacts will need to sign teams up again based on newly available divisions.

2.4    Registering into a League

Teams who wish to play in the upcoming season will need to re-apply to the league and division based on availability.

3.    Administrative Functionality

3.1    Technical

A new Beach Volleyball System Season needs to be created.  All data from the previous season will be saved for historic purposes and reporting.

Note: NEW DEVELOPMENT required for being able to find and search data based on Seasons. New requirements document will be created.  

3.2    Leagues

NEW DEVELOPMENT: At the time of writing this document, the concept of different leagues is not part of the System. In the Future Leagues will need to be brought over from previous seasons but all Divisions, teams etc that would have been associated with it from a previous season would be removed.

3.3    Waivers

3.3.1    MRS Users

The Beach Volleyball League Team Contact role is an MRS user role and as such will be required to accept the standard MRS waivers with registration. Those waivers can be managed by System Administrators.

3.3.2    Players

The Waivers documentation for Players is updatable through a rich text editor and can be managed / updated by the Beach Volleyball League administrators and System Administrators. No changes required for Rollover.  

3.4    Divisions

All Divisions created from a previous season associated with the league will be removed from the current season. Admins will need to re-create all divisions for the new season.

Note: Historic Division data needs to be saved to the previous season, NEW DEVELOPMENT will be required to add a view so that admin can view that data.

3.5    Teams

Teams will be brought forward into the new season and will remain connected to the Beach Volleyball Team Contact from the previous season.

Note: as per Division, team historic data needs to be saved to the previous season, NEW DEVELOPMENT will be required to add a view so that admin can view that data.

3.5.1    Rosters

The player rosters associated with teams will be carried forward into the new season along with the team however the flag for whether they have signed the waiver or not will be set to False. Team Contacts will have to resend everyone the “waiver” email to allow them to view the current season waivers and accept.

3.6    Reports

No changes required on rollover.
